Media Release & Storytelling Policy

Purpose
KairoLink Foundation uses photos, videos, interviews, names, stories, and impact updates to share its mission, recognize supporters, report outcomes, and raise funds. This policy explains how media involving youth athletes should be handled.
Consent Required for Minors
KairoLink should not publish youth names, photos, videos, interviews, stories, academic details, travel details, or other identifying information without documented parent or guardian consent. Consent may be requested during application, enrollment, events, or specific media opportunities.
How Media May Be Used
Approved media may be used on the KairoLink website, social media, newsletters, fundraising materials, grant reports, donor updates, event materials, presentations, press materials, and other nonprofit communications.
Respect and Dignity
KairoLink should avoid media that embarrasses, exploits, stereotypes, endangers, or misrepresents youth athletes, families, communities, or financial circumstances. Impact storytelling should preserve dignity and avoid unnecessary disclosure of sensitive details.
Location and Safety
KairoLink should be careful with real-time location details, travel plans, school details, home addresses, or other information that could increase safety risks for youth athletes.
Withdrawing Consent
A parent or guardian may contact KairoLink to withdraw future media use consent. KairoLink will make reasonable efforts to stop future use but may not be able to remove materials already printed, shared by third parties, archived, or distributed before withdrawal.
Third-Party Sharing
Media shared on social platforms, partner websites, press outlets, or fundraising platforms may be copied, reshared, indexed, or retained by third parties beyond KairoLink’s control.
No Compensation
Unless otherwise agreed in writing, participation in KairoLink media, interviews, photos, or stories is voluntary and does not create a right to compensation, royalties, ownership, or program acceptance.
